Privacy Policy

Last updated: 14 June 2026

This policy is a plain-English starting point. Before relying on it commercially, have it reviewed by a solicitor or data-protection adviser to confirm it reflects exactly how Abode processes data.

Who we are

Abode (“we”, “us”) provides property-management software for landlords, tenants, contractors and letting agents in the United Kingdom, at useabode.co.uk and app.useabode.co.uk. For data-protection purposes we are the data controller for the account and property information you provide.

What we collect

  • Account details — name, email, role (landlord, tenant, contractor or agent), and password (stored securely, never in plain text).
  • Property & tenancy data — addresses, tenancy dates, rent amounts, compliance certificates and documents you upload.
  • Maintenance & messages — repair reports, photos, quotes, invoices and messages between parties on a tenancy.
  • Payment information — handled by our payment provider; we do not store full card or bank numbers.
  • Technical data — limited device and usage information needed to run and secure the service.

Why we use it (legal basis)

We process your data to provide the service you’ve signed up for (performance of a contract), to meet legal obligations, and for our legitimate interest in keeping the platform secure and improving it. We do not sell your personal data.

Who we share it with

Data is shared only with the other parties on a tenancy where the feature requires it (for example, a repair you report is shared with your landlord and the assigned contractor), and with the service providers who host and run Abode under contract. We host data in the United Kingdom.

How long we keep it

We keep your data for as long as your account is active and for any period required to meet legal obligations. You can delete your account at any time, after which we delete or anonymise your personal data within a reasonable period.

Your rights

Under UK GDPR you have the right to access, correct, export, restrict or delete your personal data, and to object to certain processing. To exercise any of these, contact us (below). You also have the right to complain to the Information Commissioner’s Office (ICO).

Security

Access is protected by authentication and row-level security, data is hosted in the UK, and connections are encrypted in transit. No system is perfectly secure, but we take reasonable measures to protect your information.
